PAIA Manual
This manual is published in terms of Section 51 of the Promotion of Access to Information Act, 2 of 2000 (PAIA). It describes the categories of records held by Tru-Trac Rollers (Pty) Ltd and the procedure for requesting access to those records. A printable copy of this manual is available on request from the Information Officer.

Section 01
About Tru-Trac Rollers (Pty) Ltd
Tru-Trac Rollers (Pty) Ltd is a private company incorporated in the Republic of South Africa. We design, engineer and manufacture conveyor-belt components for demanding bulk-handling operations, supplied across more than 80 countries.
Tru-Trac is a private body for the purposes of PAIA.
Section 02
Section 10 Guide of the Information Regulator
The Information Regulator has published a guide in terms of section 10 of PAIA, which contains information on how to use the Act. The guide is available from the Information Regulator's office at the contact details set out in our Privacy Policy, or from the Information Officer at the address at the foot of this page.
Section 03
Records automatically available without a request
Certain records are made available to the public without the need for a formal request, including but not limited to:
- Product literature, datasheets and brochures published on this website.
- Public technical guides and Knowledge Hub articles.
- Case studies that have been approved for public release.
- Company registration details and statutory disclosures.
Section 04
Records available in terms of other legislation
Certain records held by Tru-Trac are available in terms of legislation other than PAIA, including:

- Labour Relations Act, 66 of 1995

Section 05
Categories of records held
Tru-Trac holds records across the following categories. Records may be subject to grounds of refusal as set out in Chapter 4 of PAIA.
Company records
Memorandum of Incorporation, share register, minutes of meetings, statutory registers and resolutions.
Financial records
Annual financial statements, ledgers, journals, supporting schedules, banking records, tax records, asset registers.
Operational records
Product specifications, manufacturing records, quality records, customer engagement records, project records, calibration records.
Human resources records
Employment contracts, payroll records, leave records, training records, BBBEE records, employment-equity records.
Customer & distributor records
Sales records, RFQs, project correspondence, distributor agreements, partner agreements, regional contact records.
Information processing records
Records of personal-information processing maintained under POPIA.
Section 06
Procedure for requesting access
Requests for access to records must be made on the prescribed form. The prescribed form for a private body is Form 2 of Annexure B to the PAIA Regulations. The completed form and any required fee must be delivered to the Information Officer.
- Identify the record requested with sufficient particularity.
- Identify the form of access required.
- Identify the postal address, email address or fax number of the requester.
- Identify the right that the requester is seeking to exercise or protect, and an explanation of why the record is required.
- If made on behalf of another person, submit proof of the capacity in which the request is made.
Section 07
Fees
The fees prescribed by PAIA regulations apply. The Information Officer will inform the requester of the request fee (where applicable) and the access fee in writing, and the access fee must be paid before the records are made available.
Section 08
Grounds for refusal of access
Tru-Trac will refuse access to a record where one or more of the grounds of refusal in Chapter 4, Part 3 of PAIA applies, including but not limited to:
- Mandatory protection of privacy of a third party who is a natural person.
- Mandatory protection of commercial information of a third party.
- Mandatory protection of confidential information of a third party.
- Mandatory protection of the safety of individuals and the protection of property.
- Mandatory protection of records privileged from production in legal proceedings.
- Commercial information of Tru-Trac.
- Research information of Tru-Trac or a third party.
Section 09
Remedies available
If a request for access is refused, or if the requester is dissatisfied with the response, the requester may approach the Information Regulator or the High Court for relief in terms of PAIA.

Availability of this manual
This manual is available on Tru-Trac's website at this URL, and a printed copy is available on request from the Information Officer at no charge. It is also available at Tru-Trac's principal place of business during normal business hours.
