POPIA Information

For the purposes of POPIA, Tru-Trac Rollers (Pty) Ltd is the Responsible Party for personal information processed in connection with this website and our products and services.

Tru-Trac processes personal information lawfully in a reasonable manner that does not infringe the privacy of data subjects, only for explicitly defined and lawful purposes related to the function or activity of Tru-Trac.

Tru-Trac has appointed an Information Officer in terms of section 56 of POPIA. The Information Officer is responsible for encouraging compliance with POPIA, dealing with requests made to Tru-Trac, and serving as the primary contact for the Information Regulator and data subjects. Contact details are at the foot of this page.

Tru-Trac processes personal information in line with the eight conditions for lawful processing set out in POPIA:

• Accountability — Tru-Trac is accountable for ensuring compliance.
• Processing limitation — information is collected lawfully, only as needed, and with consent or another lawful basis.
• Purpose specification — information is collected for a specific, explicitly defined and lawful purpose.
• Further processing limitation — further processing must be compatible with the original purpose.
• Information quality — Tru-Trac takes reasonable steps to ensure information is complete, accurate, up to date and not misleading.
• Openness — Tru-Trac documents its processing activities and informs data subjects via this notice.
• Security safeguards — Tru-Trac applies appropriate technical and organisational measures to protect personal information.
• Data subject participation — data subjects can access, correct or delete information held about them.

Tru-Trac processes the following categories of personal information through this website:

• Identification details: name, role / job title, company, country.
• Contact details: work email, work phone number.
• Operational details supplied by the data subject: conveyor and site context, project descriptions, attachments.
• Technical website information: IP address (transactional only), browser type, page-visit information, cookie identifiers (only with consent).
• Consent records: timestamped acceptance of marketing or analytics consent where given.

Personal information is processed for the following purposes:

• Responding to enquiries, assessment requests, quotations and partner applications.
• Routing enquiries to the relevant Tru-Trac engineering team or authorised distributor.
• Specifying, supplying or supporting products and services in active engagements.
• Meeting legal, regulatory and accounting obligations.
• Operating and improving the website (with analytics consent).

Personal information may be shared with the following categories of recipient strictly for the purposes described above:

• Tru-Trac employees in engineering, sales, technical support, and regional operations.
• Authorised distributors and channel partners in the data subject's region (only where the enquiry is best served locally).
• Operators acting on Tru-Trac's written instruction (email service, hosting, CRM, analytics).
• Professional advisers (auditors, lawyers, accountants) under appropriate confidentiality.
• Regulators or law-enforcement bodies where compelled by law.

Personal information may be transferred outside the Republic of South Africa where it is necessary to fulfil the purposes set out above (e.g. routing an enquiry to a regional team or distributor). Tru-Trac ensures recipients are bound by enforceable contractual obligations consistent with POPIA section 72, or are subject to laws providing an adequate level of protection.

Subject to the conditions set out in POPIA, you have the right to:

• Be notified that personal information about you is being collected, or has been accessed by an unauthorised party.
• Establish whether Tru-Trac holds personal information about you, and to request access to that information.
• Request correction or deletion of personal information that is inaccurate, irrelevant, excessive, out of date, incomplete, misleading or obtained unlawfully.
• Object to the processing of your personal information.
• Submit a complaint to the Information Regulator regarding alleged interference with the protection of your personal information.
• Institute civil proceedings in respect of an alleged interference with the protection of your personal information.

To exercise any of the rights listed above, please contact the Information Officer using the details at the foot of this page. Tru-Trac will respond within 30 days. We may request additional information to verify your identity before disclosing or amending records.

If you are not satisfied with Tru-Trac's response, you may lodge a complaint with the Information Regulator (South Africa).
